Getting Started with RFQs

Compose the Email

Getting started with RFQs in Purchaser is as easy as drafting a new email. There's no account setup required for you and no special onboarding for your vendors. Vendors will simply receive an email of your RFQ and handle the request however they'd like. Let's go!

1. Create a new RFQ & draft your email

You can write your RFQ from scratch, but we've also added some features that make crafting a quality RFQ easier than ever.

  • Start with a template — the template provides a table and suggestions about data to add to your RFQ to get a complete, timely response.

  • Start with a document (professional plan) — we'll pull out the important information and format it nicely.

  • Paste cells from a spreadsheet — reduce the manual data entry and get a nicely formatted table.

  • Get help writing with AI (coming soon) — describe what you need and we’ll translate it into a professional sounding email that’s ready to send to vendors.

2. Review and send

When you're done drafting your email, advance to the next step.

On the configure and send page, you'll see a preview of your email and some other details about your RFQ. We’ll create a punchy subject line for you, so don’t sweat over that.

Add at least one vendor email address to receive the RFQ. You can add emails manually or import them from a spreadsheet or your ERP.

For users on the Professional Plan, we'll auto-suggest some vendors based on the contents of your RFQ. You can also search for new vendors in Vendor Discovery and add them to the RFQ yourself.

Review the email content and send it to vendors!

3. Receive and Analyze Responses

  • When a response from a vendor comes through, we’ll notify you with an email and in the app.

  • Respond to the vendor right in the application in a dedicated thread. Notice that all the responses for that RFQ are centralized together for in that RFQ.

  • If a vendor responds with a quote or includes a document, we’ll analyze and summarize it. Go to the Quotes tab to see them.

  • If there are 2 or more quotes received, we will automatically compare the quotes and analyze them for you and call out some points to consider. Go to Quotes > Comparison to see the comparison. The comparison may take a few minutes to generate after a new quote is Received.
